Job Description

Do you have Accounts Receivable or Accounts Payable experience within OneSchool? If so, this job is for you! As the Administrative Officer you will contribute to the effective and efficient administrative management of the school by providing relevant and timely administrative support to the Principal and Business Manager. You will work within existing guidelines to provide basic resolution of problems by reference to established procedure, consulting the Principal or Business Manager for matters that are more complex or non-routine.

About the Role
Accounts Receivable role and responsibilites:

  • Accounts Receivable - School
  • Working with OneSchool Student and Finance Modules
  • All AR Phone Enquiries
  • Receipting of funds from Students
  • Student Resource Scheme Recording
  • Centrepay, BPoint, QKr, Direct Deposit receipting from Bank Statements
  • Maintaining School Scholarships, QATSIF, ABstudy etc
  • Maintaining and updating QKr App
  • Working with OneSchool Excursion Planner
  • Payment of Replacement ID Cards for Students
  • Payment of Replacement Student Organisers
  • Archiving as required
  • Daily Banking
  • Reporting / Maintaining Payments Lists
  • Invoicing / Refunds
  • Uploading of SRS Forms to Oneschool
  • Phoning and emailing families the SRS forms
  • Assisting with Accountable Forms Register

Accounts Payable role and responsibilties:

  • Accounts Payables - School
  • All AP Phone Enquiries
  • Processing Requisitions/Purchase Orders
  • Processing Payments of Invoices
  • Processing of Corporate Cards for Monthly Reconciliation
  • Assistance with Monthly Bank Reconciliation
  • Archiving as required
  • Checking Daily Banking
  • Receiving Deliveries
  • Edquipping Equipment
  • School Stocktake
  • Equipment Write-offs
  • Journaling of Monthly Reports - Web Cashier
  • Maintain Web Cashier
  • Budget Adjustments
  • Assisting and overseeing SEU purchases and corporate card with SEU
  • Assisting with End of Term Evaluation Checklist
  • Assisting with EOY Rollover
  • Assisting with Accountable Forms Register
  • Assisting with Receipting - AR
  • Assisting with SRS forms - AR

General duties for both roles will include:

  • Prominent use of Email for communication
  • Confidentiality with Information
  • Dealing with School Community and External Providers
  • Other Duties as directed by Business Managers, Executive Principal, Associate Principal and Deputies

When working in regulated employment an employee must have a current Working with Children Clearance (blue card) issued by Blue Card Services.
